HUD has a paperwork system probably designed by

Form #1. HUD Property Tracking Sheet: A high
percentage of bids will be rejected the first time you submit
them, just based on your offer price. This is GOOD -- it means
you are bidding an amount that allows you a healthy profit. Most
of our successful bids have been the 2nd, 3rd or 4th bid! Obviously,
follow-up is key. That is the purpose of this Tracking Sheet.
Form #2. HUD Offer Worksheet- This worksheet
was designed to help you figure out what you will offer on any
property. You begin by filling out the property address, and then
place the sales prices (ARV) on the next line. We work with 65%
of the ARV, so figure out what that is for your particular property
and place it here. Next, the amount of the repair costs is place
on this line. Then on the following lines fill in the closing
cost (for purchasing), Insurance, Taxes, and Utilities. Once you
have placed this data on the worksheet then add the repair costs
through the utilities together. This is your total rehab cost!!!
Then you’ll place the 65% ARV on the next line and subtract the
rehab cost from this amount. The balance you have is the Maximum
Purchase Amount!!!
Form #3. Property Inspection Checklist-This checklist
is something we designed not long after we started rehabbing.
It helps us keep track of the repairs need for each property.
This 4 page checklist walks you through the property starting
with the clean-out cost thru drywall work, Interior Paint, Carpentry
In & Out, Electrical, Plumbing, Appliances, Heating/Air, Exterior
Paint, Roof, Flooring, Termites/Mold/Other, Outside (landscaping),
and an area for Other. You just total up your repair cost and
use this amount when figuring your Offer. Easy!
Form #4. Weekly Action List- This spreadsheet
is to build a quick list of houses to go look at. Place the date
you found the property, the property address, then when you see
the property write that down, and then fill in any comments on
the property. This sheet helps you make sure you are looking at
enough properties to meet your goals.
Form #5. Vacant House Sheet- This worksheet performs
two different functions. First we give this sheet to people that
bird dog for us. They fill out the top portion of the sheet on
each property. Then if they perform any of the Actions on the
Action List on the bottom portion they circle yes and write in
the date completed. Once we have this sheet from them we then
finish our follow up on the property. We keep these sheets until
we or someone else purchases the specific property. Remember follow
up is the key.
Form #6. Property Tax Report Sheet- This spreadsheet
is for tracking the property taxes on all of your properties.
Place the year at the top of the sheet, then fill in the sheet
with your property address, amount of property taxes for that
property, Date due, Date paid, Balance due (if any), How taxes
were paid (Check, money order, cash).
Form #7. Monthly Expense Tracker- This worksheet
was designed to keep track of your monthly expenses for each of
your properties. Insert your property address on the top line
of the sheet, and then you can fill in any of the areas from Insurance
to the HOA fees, and more. Then simply total up your expenses.
It is important to keep track of your monthly expenses when you
have rent to buy, rental, or rehab properties. So you know what
your monthly cash flow needs to exceed.
Form #8. Home for Sale/We Buy Houses Flyers-
On this CD there are actually two sets of these flyers, one is
filled out as an example and the other is for you enter your information
on. The home for Sale portion is printed on one side of the paper
and the We Buy Houses portion is printed on the back. We do this
to both utilize both sides of the paper and it double market if
you will. Feel free to change any of the text on the flyers; we
also change them slightly from property to property. The most
important aspect of both flyers is keep them simple and your number
very visible.
Form #9. Hard Money Tracking Sheet- This spreadsheet
is to keep track of your financing if you purchase your properties
with “Hard Money”. This spreadsheet has a place for your property
address and then all the months of the year are listed. So, simply
fill in your property address and then mark which month you got
your financing and which month your loan is due back.
Form #10. Your Weekly Goals- Goals are an essential
part of our lives and business. This sheet was designed to help
set goals and keep you accountable for the goals you set. All
goals are achieved through action. Write your goals on the lines
provided and post them in your office or where ever you will see
them everyday. When you achieve your goals write them down in
the achieved area along with the date you hit your target.
Form #11. Filing System Locator- Do you have
problems finding things once you “file” them? Well, we did… until
we designed this Locator Index. With this you can find everything
you put in your file cabinet. It's an easy-to-use indexing system.
It prevents you from creating or using (for example) "Car", "Auto"
and "Ford" as separate file folders, when you really want all
your data to go in just one file folder. This system allows you
to find anything you've ever filed in just 2 minutes! Ingenious
and simple! We print out the sheet periodically and put it on
the side of the file cabinet.
Form #12. Buyers List for Your Properties- This
sheet is to help build your buyers list. With this sheet you will
have all of the basic information needed to know what type of
property other investors or other buyers are interested in. So,
print out several of these and keep them with you. Then when you
attend your local real estate group meetings you can have other
investors or prospective buyers fill one of them out. Keep them
in a file and when you come across a property that you may not
want, you can use these sheets to find other investors that may
want them.
